<p>There is a simple formula that small business owners, network marketers, and entrepreneurs alike can follow to make the budget process less daunting. That is the PPFE (Past, Present, Future, Estimate) Small Business Budget Formula.</p>
<p><strong>Past</strong></p>
<p>Sometimes the past is a very good indication of what may happen in the future. Take a look at your past financial statements. We recommend examining the last two years of income and expenses (however, if you only have the prior year&#8217;s statements that is fine too). Look for trends, percentage increases/decreases in certain areas of income and expenses (variable expenses), and new expenses.</p>
<p><em>Tip: A quick way to locate prior revenue and expense information is by using your prior year&#8217;s income statement as well as budget-to-actual comparison reports. If you keep everything on Excel spreadsheets use the last month of your fiscal year&#8217;s income statement.</em></p>
<p><strong>Present</strong></p>
<p>Run a year-to-date income statement to review revenue and expenses from the beginning of your fiscal year to the present. It&#8217;s important to have a current understanding of your business to be able to have a forward look into operations for the years ahead.</p>
<p>Review for changes and evaluate if the percent of change is similar to prior years. Since you&#8217;re reviewing year-to-date information, this is a good time to create a forecast for the remaining months of the year. This will be really helpful for ensuring that next year&#8217;s budget is as accurate as possible.</p>
<p><strong>Future</strong></p>
<p>Evaluating your past and present financials will provide a great basis for next year&#8217;s projections. You are able to determine educated assumptions to provide you with solid and substantiated revenue and expense projections for the next year&#8217;s budget. Additionally, you take in account major expenses and income that you believe will occur in the new fiscal year, upcoming changes in insurance fees (and other areas that usually fluctuate from year to year).</p>
<p><strong>Estimate</strong></p>
<p>Budgeting can be overwhelming for some, but if you keep in mind that it&#8217;s not going to be perfect, it will ease the frustration a little. Budgets are estimates based on what you believe your business will do in the future. You determine these estimates by reviewing the past, present and future operations. In addition, take into consideration goals and objectives of your business, resources, market, etc. Then provide justification for your assumptions.</p>
<p><em>Note: This is a simple basis for introducing entrepreneurs to the budgeting process. Please remember that before embarking upon doing your budgets you must first establish goals and expectations.</em></p>

If you have never used MS Access 2003, you may be intimidated by this software. <li>Click the Database tab. Notice the 10 available templates. Select one and click OK.</li>

<p>The File New Database dialog prompt appears. This is where you will type in the name of the database and select the location of the database. Select a location by clicking the upper Save In drop down list. Select a location that you that will be used for the database. In the File Name section, type a name for the database and click Create. The template opens.</p>
<p>The Access window is divided into toolbars, objects, and groups. The toolbars let you open new and existing objects, open objects in design view, create new objects, and change the view of objects in the Access window.</p>
<p>The objects are the tools you will use to add and manipulate data in the database.</p>
<ol>
<li>Tables are used to add data to the database.</li>
<li>Forms are used to add data to the database. Use them to create user friendly interfaces to add data to the database.</li>
<li>Queries let you question the inputed data. Use when when you need to see a segment of the database without viewing the entire database.</li>
<li>Reports are used to extract data out of the database. Use them when you need a hard copy of tangible data that resides in the database.</li>
<li>Pages are web pages created from the database the keep a connection to the database.</li>
<li>Macros are short codes that you can create to automate different features in the database. Example of macros could include maximizing a form, opening a form, closing the database, or running a report.</li>
<li>Modules are VBA code written in the database to automate different features.</li>

They can be used to save you time and effort. Sometimes you are using a workbook as a template and don&#8217;t even realize it. By this I mean you have a spreadsheet that you use daily, weekly or monthly. You may have to modify a few cells but the remainder of the spreadsheet is exactly the way you want it. It may be tedious to modify the cells but it is easier than recreating it from scratch.  Guess what, you have the basis of a template!</p>
<p>If you wanted to make this spreadsheet into template, you would need to take two more steps. The first step would involve modifying the spreadsheet to display only the data that remains the same. If you are constantly changing certain cells, you would leave these cells formatted but blank. The last step involves saving this spreadsheet as a template. Once this is done, you would always have access to a clean spreadsheet that is formatted the way you want and ready for your modifications.</p>
<p>Microsoft has hundreds of free templates available on their website <a rel="nofollow" href="http://office.microsoft.com/en-us/templates" target="_new">http://office.microsoft.com/en-us/templates</a>. You can also download templates that are already loaded in your version of Excel. They are typically located under the File/New or Office Button/New option. When downloading these business and personal templates, be sure to monitor the version of Office that the template applies to. They have templates available for all of the versions of the Office Suites.</p>

Your employee should understand the importance of this and realize how this may impact the accuracy of their report if the receipts are not present. Lost receipts can be retrieved by contacting the vendor to get a copy. The employee should realize that this is their responsibility especially if they expect reimbursement for those types of expenses.</p>
<p>Your standardized business expense report should have different areas to account for your employee expenses. There should be an area of general ledger accounts numbers, general ledger account names, date and location of expenses, and if necessary mileage calculations. This information will greatly assist your accounting team when they reconcile the expenses!</p>
<p>Lastly, your business expense reports should be submitted on a set timed schedule. It should be encouraged to submit them weekly or monthly. This should be mandatory and not optional. The goal is to reconcile for expenses in a timely manner so they company can see where their funds are being spent and if they are being used responsibly. To get employees on board with this, try incentive based rewards in the first few months to get them used the new timed schedule.</p>
<p>Excel templates are an excellent tool to use when you are standardizing your business expense report. Most companies already have Office or a similar product loaded on their company computers so using templates can assist in this standardization process. Below is an example of an excel business expense report. This expense report contains a sheet that allows you enter up to 30 general ledger accounts names and numbers. It also contains a weekly business expense report area that allows you to select the appropriate general ledger account and detail the expense prior to printing.</p>

<p>One of the things I like about podcasts is they help you build relationships in a way that the printed page&#8230;or a website&#8230;can&#8217;t.</p>
<p>What sets the podcast apart-and I know this seems obvious&#8211;is the sound. So you want to take advantage of that. Have some animation, some excitement in your voice.</p>
<p>The voice is pretty powerful way to connect with other people. On a podcast you are talking about things that you are really excited about and people hear that excitement&#8230;they hear it in the tone of your voice, in the words you use&#8230;the emotions are carried with the audio in a way that is harder to get from the written page or website.</p>
<p><strong>Podcasts Establish You as the Expert</strong></p>
<p>Podcasts are a way for you to really set yourself up as an expert. There&#8217;s a certain mystique to podcasting. You know, it is like having your own radio show, so it is pretty cool.</p>
<p>So you have your podcast on training dogs or internet marketing&#8230;whatever you niche is, right? Suddenly you are considered an expert-because you are the one with the podcast. Podcasts still aren&#8217;t quite as mainstream as blogs, so there is still something a bit special about being a podcaster.</p>
<p>You give your podcast and people listen to it&#8230;and as long as you give good content, people are going to listen&#8230;and they will tell other people about it.</p>
<p><strong>Podcasts Work with Affiliate Marketing</strong></p>
<p>You don&#8217;t have to have your own products&#8230;you can use podcasts to promote affiliate products. I did that with my very first podcast. It was really cool. I bought a domain name and used that URL for my affiliate link and of course I earned money from the sales of the product I was promoting&#8230;that&#8217;s what affiliate marketing is about.</p>
<p>If you want to do affiliate marketing with podcasts, one way to go about it would be to interview the person whose product it is you are promoting. That&#8217;s what I did for my first podcast.</p>
<p>But another thing you can do is set up a review. People love to hear reviews. You can pick something in your niche to review and tell what you like and what you don&#8217;t like about that product.</p>
<p>You could even have two people talking&#8230;kind of like the Siskel and Ebert movie reviews. Give two different reviews on the topic of the day-which could be a pretty cool way to do a regular series.</p>
<p>Podcasts are great internet marketing tools because they are a way for you to build relationships. When you build relationships you will grow your business. You can use them to promote anything-your own products sure, but you can also use them for affiliate marketing.</p>
